What information we collect and how

The information we collect includes:

•    Any personal details you knowingly provide us with through any means including forms and email, such as name, address, telephone number etc.

To run our business in an efficient and proper way. This includes managing our financial position, business capability, planning communications, corporate governance and audit.    This is necessary to comply with the legal and regulatory requirements that apply to us.

Disclosing your information

Here’s when we disclose information about you 

In order to process your application, we will perform credit and identity checks on you with one or more credit reference agencies (“CRAs”). These searches may affect your credit rating.

To do this, we will supply your personal information to CRAs and they will give us information about you. This will include information from your credit application and about your financial situation and financial history. CRAs will supply to us both public (including the electoral register) and shared credit, financial situation and financial history information and fraud prevention information.

We will use this information to:

•    Assess your creditworthiness and whether you can afford to take the product;
•    Verify the accuracy of the data you have provided to us;
•    Prevent criminal activity, fraud and money laundering;
•    Manage your account(s);
•    Trace and recover debts; and
•    Ensure any offers provided to you are appropriate to your circumstances.

We will continue to exchange information about you with CRAs while you have a relationship with us. We will also inform the CRAs about your settled accounts. If you borrow and do not repay in full and on time, CRAs will record the outstanding debt. This information may be supplied to other organisations by CRAs.

When CRAs receive a search from us they will place a search footprint on your credit file that may be seen by other lenders.

If you are making a joint application, or tell us that you have a spouse or financial associate, we will link your records together, so you should make sure you discuss this with them, and share with them this information, before lodging the application. CRAs will also link your records together and these links will remain on your and their files until such time as you or your partner successfully files for a disassociation with the CRAs to break that link.

To 3rd parties for the purposes of data cleansing or for marketing communications, namely direct mailings, digital display, email, social media. They will never use your personal information for their own purposes.

When we (or any 3rd party acting on our behalf) are legally compelled to or have a duty to the public to disclose information.

When we are required to disclose your information in order to administer your business. This will include the provider of the funds, your and our solicitor, and the valuer of the property. 

We may also share your personal data with other Key Group entities for the purposes of corporate governance, audit or informing you of related and appropriate Key Group services.

How long we will keep your data

If you go on to submit an application, all personal data that you have provided to us during the course of business will be retained for as long as is necessary to provide your services and/or meet our legal obligations.

If you do not go on to submit an application, we will retain any personal data that you have provided to us for a minimum of 12 months but for no longer than 24 months.

Your rights

You have the right to:

•    request a copy of any information that we currently hold about you and ask us to correct or delete this.  
•    restrict or object to processing of your information. 
•    the information we hold in our systems about you to be provided to you or another Data Controller in a machine-readable format.
•    Where you have provided consent for us to process your data, you have the right to withdraw the consent for the processing of that data.

If you believe that we are not processing your information correctly you should contact our Data Protection Officer at the above address. If you are not satisfied with our response, you have the right to take your complaint to the Information Commissioner’s Office (www.ico.org.uk).

Protecting your information

We are committed to protecting the confidentiality and security of your information.  As such any information collected via our website is encrypted and delivered to us through a secure environment and protected using robust security methods.
